Data Deletion
You have the right to request deletion of your personal data held by InstantReply. This page explains what gets deleted, what we are legally required to retain, and exactly how to submit a request.

Who can submit a deletion request
- Account holders: any registered user can request deletion of their own account and associated personal data.
- Organization admins: workspace admins can request deletion of an entire workspace, including all member data and conversation history.
- End-users (customers of our customers): if you are an individual whose data was processed because you messaged a business using InstantReply, you can contact us and we will route your request to the relevant Customer, who is the data controller for your data.
What gets deleted
Upon a verified deletion request, we will delete or anonymize:
- Your account profile: name, email address, password hash, and preferences.
- Your workspace and all associated member records.
- Conversation data, contact records, tags, and notes stored within your workspace.
- Integration credentials and connected channel configurations.
- Marketing and communication preferences and history.
What we are required to retain
Certain data must be retained to comply with legal obligations even after a deletion request:
- Billing and financial records: invoices, payment history, and transaction records are retained for 7 years as required by financial regulations.
- Fraud and abuse records: where an account was suspended for fraud or abuse, we retain minimum identifying information to prevent re-registration.
- Legal hold data: data subject to an active legal hold, subpoena, or regulatory investigation cannot be deleted until the hold is lifted.
- Aggregated analytics: anonymized, non-identifiable usage statistics that cannot be attributed back to you.
Encrypted backups may contain copies of deleted data for up to 30 days after deletion before being permanently overwritten.
How to submit a deletion request
Option 1: Self-serve (account holders)
If your account is active, you can delete your workspace directly from the platform:
- Log in to your InstantReply account.
- Go to Settings → Workspace → Danger Zone.
- Select “Delete workspace” and follow the confirmation steps.
This will schedule your workspace for deletion within 30 days. You can cancel the request within that window by logging back in.
Option 2: Email request
For account deletion, workspace deletion by an admin, or requests from individuals whose data was processed through a third-party workspace, email us at:

Include in your email:
- Your full name
- The email address associated with your account
- Your workspace name (if applicable)
- A description of what you want deleted (full account, specific data, or conversation records)
Timeline and verification
- We will acknowledge your request within 5 business days and may ask you to verify your identity before processing it.
- We will complete deletion within 30 days of verifying the request, consistent with GDPR Article 17 and CCPA requirements.
- We will send a confirmation email once deletion is complete.
- If we are unable to fulfill the request due to a legal obligation, we will explain which data we must retain and why.
Other data rights
Deletion is one of several rights you may have. You can also request:
- Data export: a copy of your personal data in a portable format.
- Correction: update inaccurate or incomplete personal data (most of this can be done directly in your account settings).
- Restriction: request that we limit processing of your data in specific circumstances.
- Objection: object to processing based on our legitimate interests, including direct marketing.
